Careerflex LLC uses artificial intelligence (AI) tools across different parts of the business. How AI is used depends on whether you are engaged in Archetypal Consulting or Clinical Therapy Services, as described in our Service Disclosure.
1. AI Use in Consulting Services
For clients engaged in Immersion Intensive, Leadership Intensive, Organizational Strategy Intensive, or Individual Intensive consulting, AI tools may be used to support:
- Website copy, marketing materials, and correspondence
- Scheduling and administrative workflow
- Drafting strategic planning documents and session summaries for your own reference
AI tools are not used to make consulting recommendations on your behalf, replace Jake Freeman’s judgment, or communicate with you directly without review. No confidential business information you share is entered into general-purpose or public AI tools without your knowledge. Consulting engagements are not clinical services and are not subject to HIPAA.
2. AI Use in Clinical Therapy Services (Montana Clients Only)
For clients receiving licensed clinical therapy, Careerflex LLC uses an AI-supported documentation system that records sessions for transcription and clinical note support. This allows your clinician to remain present during sessions rather than dividing attention between you and a notepad.
Key points:
- Sessions may be audio recorded for transcription purposes only
- Audio is deleted immediately after transcription
- Transcripts become part of your HIPAA-protected clinical record
- All AI vendors involved operate under Business Associate Agreements (BAAs) and are prohibited from using your data for model training or any purpose beyond your care
- This is a required condition of receiving clinical therapy services at Careerflex LLC

3. What AI Never Does at Careerflex LLC
Regardless of service type, AI tools are never used to:
- Generate a clinical diagnosis
- Make treatment decisions
- Replace Jake Freeman’s professional judgment
- Represent themselves as Jake Freeman in direct communication with you
